We are committed to protecting your privacy and handling your data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Registered office: 25 Mount Adon Park, London, SE22 0DS, United Kingdom

2. What information we collect
When you submit the contact form, we collect the personal data you choose to provide, which typically includes:
Your name
Your email address
Any other information you include in the message field (for example, your company, phone number, or details of your enquiry)
We do not collect special category data through the contact form, and we ask that you do not include sensitive personal information in your message.
3. Why we use your information and our lawful basis
We use the information you submit to respond to your enquiry, to discuss potential projects or services, and to maintain a record of our correspondence.
Our lawful basis for processing this information is our legitimate interests (Article 6(1)(f) UK GDPR) — specifically, responding to enquiries and managing communications relating to our business. Where you initiate contact with us, this processing is necessary and is not expected to override your rights or interests.
4. How long we keep your information
We retain enquiry data for as long as is necessary to respond to your message and for a reasonable period afterwards in case of follow-up correspondence. If your enquiry does not lead to an ongoing business relationship, we will normally delete it within 24 months. If we begin a working relationship, your details will be retained in line with our records-management practices and any legal or tax obligations.
5. Who we share your information with
We do not sell your personal data. We only share it with trusted third parties who help us operate our website and respond to enquiries:
Squarespace, Inc. — our website hosting and contact form provider, which processes form submissions on our behalf.
Our email service provider, used to receive and reply to your enquiry.
These providers act as processors on our behalf and are required to keep your information secure. Some of them may transfer data outside the UK; where this happens, appropriate safeguards (such as Standard Contractual Clauses or UK adequacy regulations) are in place.
6. Cookies and analytics
Our website may use a small number of cookies that are necessary for the site to function, as well as analytics cookies provided by Squarespace to help us understand how visitors use the site. You can control cookies through your browser settings.
7. Your rights
Under UK GDPR you have the following rights in relation to your personal data:
The right to be informed about how we use your data
The right of access to a copy of your data
The right to rectification of inaccurate data
The right to erasure (“right to be forgotten”)
The right to restrict processing
The right to data portability
The right to object to processing based on legitimate interests
Rights relating to automated decision-making and profiling (we do not carry out either through the contact form)
To exercise any of these rights, please email contact@tpovfx.com. We will respond within one month.
8. How your information is stored and secured
When you submit the contact form, your information is handled as follows:
Form submissions are transmitted over an encrypted (HTTPS/TLS) connection.
Submissions are processed and stored by Squarespace, Inc. on their secure servers, which may be located in the United States. Squarespace operates under appropriate safeguards for international data transfers, including the UK extension to the EU-US Data Privacy Framework and Standard Contractual Clauses.
A copy of each submission is also delivered to our business email inbox, hosted by our email service provider, where it is retained as correspondence.
Access to form submissions and the associated inbox is restricted to authorised members of TPO VFX LTD on a need-to-know basis, protected by individual accounts and strong authentication.
We do not store contact-form data on personal devices or in any other systems beyond those described above.
We take appropriate technical and organisational measures to protect your information against unauthorised access, loss, alteration, or disclosure. While no method of transmission or storage is completely secure, we work with reputable providers and review our practices regularly.
If you would like your information deleted from our systems, please email contact@tpovfx.com and we will remove it from our systems and the Squarespace form records (subject to any limited retention required by law).
